Summary

  1. Lesson Goal (00:18)

The goal of this lesson is to learn what Power Automate Desktop is, and what it can be used for.

  2. Understanding Power Automate Desktop (00:26)

Power Automate Desktop is a desktop application that automates business processes using flows. It can be downloaded for free from the Power Automate website here.

As with the online service, processes are automated in Power Automate Desktop by creating flows, which are made up of actions. Power Automate Desktop lets you automate almost any action you can take on your computer, giving you great flexibility in automating almost any process you can think of.

  3. Introducing Our Case Study (01:09)

In this course, we consider the case study of a city shopping mall with several tenants. The mall sends invoices to each tenant each year, and these invoices come in the form of Word documents. In order to ensure these invoices are correct, the mall wants to extract relevant information from these invoices, and add it into an Excel spreadsheet. They can then compare this sheet to their records at a later date.

Our focus is on getting the information from Word documents into Excel. This would be a dull and repetitive task, especially with a large number of invoices, and would be prone to data entry errors. As a result, this process is a good candidate for automation with Power Automate.

  4. Course Overview (02:21)

This course will cover the following areas:

    • Introduce Power Automate Desktop capabilities
    • Develop a flow
    • Save and run flow

Transcript

Welcome to our course on creating flows in Power Automate desktop. In this course, we'll teach you what Power Automate desktop is and take you through the process of using it to automate business processes.

In this first lesson, we'll learn what Power Automate desktop is and what it can be used for.

Power Automate Desktop is a desktop application that automates business processes by creating flows.

If you don't have Power Automate Desktop on your computer, you can download it for free from the Power Automate Desktop website. You can find a link to this website in the lesson summary below the video, as with the Power Automate online service, a flow is a series of actions that make up a business process. Power Automate Desktop allows you to automate almost any action you can take on your computer, which means you can build flows that automate almost any business process. We'll learn more about how these flows are built as we go through the course.

Let's now examine the case study we'll analyze in this course. We'll consider a city shopping mall, which has various customers as tenants.

Recently, the mall sent invoices to each of the tenants detailing their rental payments for the next year. Each of these invoices is a simple word document.

If we look at one of these invoices in word, we can see that it contains basic information such as the company involved, the dates of the invoice and the amount of the invoice. In order to ensure that the invoices are correct, the mall wants to extract the relevant information from all of these invoices and add it all to a single Excel spreadsheet.

They can then cross reference the figures in the Excel sheet with their own financial systems at a later stage.

We're going to focus on the process of getting information from the word documents into one Excel sheet.

Doing this manually would be a dull repetitive task that's prone to data entry errors, so instead we'll create a flow using Power Automate Desktop to automate the process. The flow also has the advantage of being reusable so the mall owners can easily repeat the process again in the future.

Before we end this lesson, let's consider what material we'll cover throughout the rest of this course. We'll start by introducing the capabilities of Power Automate Desktop. We'll then spend most of the course developing a flow in Power Automate Desktop that will automate a business process.

Finally, we'll learn how to save and run the flow we create in Power Automate Desktop.

We'll get started in the next lesson by opening Power Automate Desktop and creating our first flow.
